Your organisation’s role in a submission

Before a full submission can be completed, FEGA Sweden needs to identify the organisations responsible for the research and for deciding why and how the personal data are processed. These roles are usually referred to as the research principal(s) and data controller(s). Organisational onboarding means getting those organisations ready to use FEGA Sweden by agreeing the legal and practical ways of working.

You do not need to identify these roles or know the organisational onboarding status before creating a submission request. The FEGA Sweden Helpdesk can help clarify which roles and organisations need to be involved during follow-up.

A clear path forward

Create a submission request. You can do this before the relevant roles and organisations have been fully clarified.

Clarify responsibilities and onboarding. The Helpdesk can help identify which organisations and local support functions need to be involved.

Continue towards a full submission. The full submission can proceed once the necessary organisational arrangements are in place.

The relevant organisations are often those connected to your research project, but collaborations may involve more than one organisation. For information about organisational onboarding, existing arrangements, and Data Processing Agreements (DPAs), see Organisational onboarding and Legal and GDPR arrangements for organisations.

If the organisation is not ready yet

If the relevant organisation is not yet onboarded, a full submission cannot move forward until the necessary processes have been established with that organisation. This does not prevent you from creating a submission request.

Create a submission request so that FEGA Sweden can assess your case and contact you about next steps. We can help clarify:

  • whether organisational onboarding is already underway
  • whether further onboarding work is needed
  • what you can prepare while onboarding is underway

If you are unsure, please contact the FEGA Sweden Helpdesk.
